MANP Data Protection & Confidentiality

This website is run by the Marlborough Area Neighbourhood Planning (MANP) Steering Group. We regard your privacy as important and comply with the Data Protection Act 1998.

We process and hold information to help us inform you about what’s happening with neighbourhood planning & to engage with you about the aspirations of the community. This notice explains how we use and share your information. Information may be collected on a paper or online form, by telephone, email, by a member of the MANP Steering Group volunteers or by a representative of an external company contracted by MANP for specific data gathering purposes.

Using the MANP website

We record personal information if you:

  • Subscribe to receive an electronic newsletter,
  • Contact us and leave your details for us to respond.
  • Respond to an online survey or poll.

Why we collect information

We collect and hold information about you, in order to:

  • Contact you by post, email or telephone,
  • Ask for your opinions about the MANP website, the Neighbourhood Plan Document, the Working Party Subject Assessments or the MANP public consultations,
  • Help us to build up a picture of the MANP community’s aspirations.
  • Gain a clearer view of the MANP community’s land use.

How we use your information

We will only use any personal information you send us for the purposes for which you provide it. We will only hold your information for as long as necessary. All individuals who have access to your personal data and are associated with the handling of that data are obliged to respect the confidentiality of your data. All your communications with us are protected against unauthorised access by third parties.

We try to keep the information we hold about you & the community we are a part of accurate and up to date. If, however, you find errors or inaccuracies in your data, we will erase, complete or amend that information as you request. Our contact details are at the end of this note.

We will process your information for the following purposes:                                            

  • For the purpose you requested, and to improve the MANP Steering Group’s performance in responding to your request.
  • To allow us to communicate with you effectively.
  • To ensure that the MANP Steering Group meets its legal obligations.
  • To allow for the statistical analysis of data so we can gather evidence in support of the Neighbourhood Plan.

While the MANP Steering Group makes every effort to ensure the accuracy and reliability of the information it holds, we disclaim any warranty or representation, express or implied, about its accuracy, completeness or appropriateness for a particular purpose. Neither the MANP Steering Group, Marlborough Town Council, Mildenhall Parish Council, Preshute Parish Council, Savernake Parish Council, nor any of their employees are responsible or liable for any claim, loss or damage resulting from its use. Neither are any of these groups and organisations responsible for the contents or reliability of any linked websites and does not necessarily endorse the views expressed within them. We cannot guarantee that these links will work all of the time and have no control over the availability of any linked pages

Information sharing

We may need to pass your information to other people and organisations that we contract to provide a service. These providers are obliged to keep your details securely, and use them only to fulfil your request. If we wish to pass your sensitive or confidential information onto a third party, we will only do so once we have obtained your consent, unless we are legally required to do so. We may disclose information to other partners where it is necessary, either to comply with a legal obligation, or where permitted under the Data Protection Act.

Where we need to disclose sensitive or confidential information to other partners, we will do so only with your prior explicit consent or where we are legally required to. We may disclose information when necessary to prevent risk of harm to an individual.

We have a Data Protection and Privacy Policy and a set of Information Security policies. These define our commitments and responsibilities to your privacy and cover a range of information and technology security areas.

  • Information will be protected against unauthorised access.
  • Confidentiality of information will be assured.
  • Integrity of information will be maintained.
  • Regulatory and legislative requirements will be met.
  • Information security training will be available to all volunteers.
  • All breaches of information security, actual or suspected, will be reported to, and investigated by an appropriate Information Security Officer.
